How to Track Text in an Email as a To-Do Item in Mac OS X Mail

They're not always clearly labeled, barely specified exactly and typically not in the Subject line, but they're in almost every email: things to do.

Extract these to-do items from your emails, put them in your calendar and your email life (if not your life) will improve tremendously. Does that extracting require detective work, typing, copying and a couple of applications?

No. All you need is Mac OS X Mail, and a bit of archaeology to find the actionable pieces in long and winding emails.

Track Text in an Email as a To-Do Item in Mac OS X Mail

To turn text from any email or note into a to-do list item in Mac OS X Mail:

  • Highlight the desired text with your mouse.
  • Press Alt-Command-Y.
    • You can also click the To Do button.

To add a due date and alarm or change the to-do item's priority and iCal calendar:

  • Click the red right arrow in front of the to-do item.
  • Check Due Date: or Priority and choose the desired calendar under Calendar.

To complete a to-do item:

  • Check its box.

To delete a to-do item:

  • Click the red 'x' that appears when you hover over the to-do item with the mouse.

Note that you can also edit, delete and complete to-do items in the To Do folder under REMINDERS.
