How to Break Down Tasks into Manageable Pieces in Gmail

To-Do Lists Can Be Succinct

Task lists can be short — and static. If you also like some action — adding items and notes, brainstorming and, every day, checking items done —, chances are you'll want to reduce the goals into 15-minute chunks.

With Gmail's Tasks, you don't need to lose sight of either the goal or the next action: it's all right in your email, and it's easy to break down tasks into smaller, actionable sub-tasks.

Break Down Tasks into Manageable Pieces in Gmail

To create a sub-task for a bigger project or goal in Gmail Tasks:

  • Make sure Gmail Tasks is open.
  • Click in the task that is to be the final goal or parent task.
    • Click in an empty area in the task list to create a new task.
    • You can move the new task in place using Ctrl-Up and Ctrl-Down (Windows, Linux) or Command-Up and Command-Down (Mac).
    • Of course, you can also click in a task that is already a sub-task to create a sub-sub-task.
  • Hit Enter.
  • Now hit Tab.
  • Type the sub-task's title.

To indent an existing task and make it a sub-task:

  • Click in the desired task's title.
  • Hit Tab.
  • If necessary, move the new sub-task below the desired parent task by grabbing the handle with the mouse and dragging or using the keyboard shortcuts from above.

To de-indent a task and promote it in the task ladder:

  • Click in the desired task's title.
  • Hit Shift-Tab.

Marking a parent task complete automatically checks all sub-tasks. Finishing all sub-tasks will not automatically complete their parent task, however.
