When you click on To... while composing a message, does Outlook try to confuse you with multiple entries for single contacts, typically fax numbers looking like email addresses?
Unfortunately, Outlook cannot be convinced to leave these out on its own. Fortunately, you can make Outlook regard your fax numbers as invalid and discount them.
Hide Fax Numbers in the Outlook "Select Names" Dialog
To stop business, home or other fax numbers to appear as email contacts when you click To... while composing a message in Outlook:
- Select Go | Contacts from the menu in Outlook.
- For each contact that includes a Fax number:
- Double-click the contact.
- Prefix the Fax number with "Fax: ". You can also use "O:" for office, "H:" for home and "O:" for other Fax numbers or choose your favorite letter combination.
If you have more contacts in your Outlook Contacts than you care to modify, you can use the Hide Fax Numbers Outlook add-in, which will do the job for you.
